SalonGrid Studio ("SalonGrid Studio," "we," "us," or "our") operates the website salongridstudio.com and the SalonGrid Studio subscription platform (together, the "Services"). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the rights you have over it. By using the Services you acknowledge that you have read and understood this Privacy Policy. If you do not agree, do not use the Services. SalonGrid Studio is operated from Quebec, Canada. Our Privacy Officer, as required by Quebec Law 25, can be reached using the contact methods in the Contact section below.

1. Information We Collect

We collect personal information in three ways: information you give us directly, information generated automatically when you use the Services, and information provided by third parties who help us run the Services. Information you provide directly includes your name, email address, business name, business type, phone number, mailing address, billing information, and any other details you submit through contact forms, onboarding forms, the subscription portal, or any other interaction with us. If you book a Discovery Call we collect the information you share during that call. If you upload footage, photos, brand assets, client lists, or any other content into your portal we collect and process that content to produce your videos and run your automations. Information collected automatically includes your IP address, device type, browser type, operating system, pages viewed, links clicked, time spent, referring URL, and similar usage data. We use cookies and similar technologies on the public site to operate it, measure traffic, and improve performance. Information from third parties includes data from social media accounts you connect (Instagram, TikTok, Facebook, Google Business Profile), payment processors who confirm transactions, and analytics providers.

2. How We Use Your Information

To operate the Services (producing videos from your footage, running your automations, and delivering dashboards, reports, and tools); process payments, renewals, and refunds; communicate about your account, billing, production, and support; send marketing only after you give express consent (withdrawable anytime); improve the Services through analytics; detect and prevent fraud and security incidents; and comply with law. We do not sell your personal information and do not share your client lists with others for their own marketing.

3. Client-Supplied Content and Footage

You retain ownership of content you upload. By uploading content you grant SalonGrid Studio a limited, non-exclusive, royalty-free license to use it solely to produce, edit, brand, caption, store, and (where you opt in) post the finished videos on your behalf. This license ends when your subscription ends and we delete your content under Section 10. You warrant you have the right to use every face, voice, likeness, logo, song, and other element in your content, including model releases, and that it does not infringe any third party's rights. You are responsible for, and will indemnify us against, claims arising from content you uploaded.

4. AI-Generated Video Content

AI Talking Video (T07) and AI Commercial (T08) are produced using third-party generative AI services; your prompts, scripts, and brand inputs may be sent to and processed by external AI providers under their own terms, which may retain prompts and outputs. The finished video is delivered to you with full commercial usage rights. If you prefer your content not be processed by external AI providers, do not order T07 or T08 videos.

5. Service Providers and Third Parties

We use trusted providers across these categories: hosting and storage; payment processors; automation and CRM infrastructure; AI video generation; AI conversational services (booking bots, voice receptionist, follow-up); email and SMS delivery; and analytics. Each is contractually bound to use your data only to provide its service and to maintain industry-standard security. We do not authorize providers to market their own products to you.

6. How We Share Information

Only: with service providers (Section 5); with your express consent; to comply with law; to protect rights and safety and enforce our Terms; and in a business transaction such as a merger or sale, where any new owner is bound by this or an equivalent policy. We do not sell personal information and do not share it for cross-context behavioral advertising.

7. Subscription Billing

The Services are a recurring monthly subscription billed in Canadian Dollars (CAD), auto-renewing unless cancelled before the next renewal date from your portal. New clients receive a 20% discount on months one through three, then convert to full price beginning month four. Full subscription, cancellation, and refund terms are in our Terms of Service.

8. SMS and Email Marketing Consent (CASL)

We comply with CASL, the TCPA, and equivalent laws. We only send commercial messages to recipients who gave express consent. Every message identifies SalonGrid Studio and includes a working unsubscribe (link in email, STOP in SMS). You can withdraw consent anytime; we stop within ten business days. We may still send transactional messages to active subscribers.

9. Call and Video-Call Recording

Onboarding and strategy calls may be recorded for training and quality. If a call is recorded we tell you at the start and ask for verbal consent. Recordings are stored securely and you can request deletion of a recording in which you appear.

10. Data Retention

During an active subscription, data is retained while in use. After cancellation, client contact data, portal data, conversation logs, and uploaded footage are retained for ninety days (for export), then permanently deleted from active systems. Delivered videos remain downloadable during that ninety-day window. Billing records are retained for seven years for tax compliance. Aggregated, anonymized data may be retained indefinitely. We honor earlier deletion requests to the extent allowed by law.

11. Cookies and Tracking

The public site uses cookies for core functions (the session, security), analytics, and any marketing pixels. You can disable cookies in your browser. Where required (EU/UK or Quebec) you will see a consent banner on first visit.

12. Children's Privacy

The Services are not directed to minors (eighteen in Quebec and most provinces, sixteen where allowed). We do not knowingly collect data from minors and will delete it on request.

13. Your Rights

Your rights depend on where you live. Quebec (Law 25): be informed, access, correction, deletion, portability, information about automated decisions and the right to challenge them, and to complain to the CAI. EU/UK (GDPR): access, rectification, erasure, restriction, objection, portability, complaint to your authority, and withdrawal of consent. California (CCPA/CPRA): know, delete, correct, opt out of sale or sharing (we do not sell or share), and non-discrimination. Canada outside Quebec (PIPEDA): access, correction, withdraw consent, and complain to the OPC. Contact us (Section 14) to exercise rights; we will verify identity and respond within legal timelines.

15. International Data Transfers

We are based in Canada and our providers may process data in Canada, the US, the EU, the UK, and elsewhere. Where we transfer data out of your country we rely on recognized mechanisms, including Standard Contractual Clauses, and equivalent safeguards.

16. Security

We use industry-standard administrative, technical, and physical safeguards, including encryption in transit and at rest, access controls, and routine reviews. No system is perfectly secure. If we become aware of a breach creating a real risk of significant harm, we will notify you and regulators without undue delay and, where feasible, within 72 hours, as required by Quebec Law 25, the GDPR, and other laws, describing the nature, scope, likely consequences, and our response.

17. Legal Bases for Processing (EEA and UK)

We process your data to perform our contract, with your consent (marketing and non-essential cookies, withdrawable anytime), for our legitimate interests (operating, securing, and improving the Services), and to comply with legal obligations.

18. Our Role and Sub-Processors

For the public website and our marketing we are a data controller. For content and data you load into the portal we generally act as a processor or service provider on your instructions, and you are the controller of your clients' data. Our sub-processors (the categories in Section 5) are bound to use data only to provide their service, keep it confidential, and maintain security. We do not retain, use, sell, or disclose data you load for any purpose other than providing the Services.

19. Automated Decision-Making

Features like AI booking bots and automated follow-up use automated processing to send messages and schedule actions; these do not produce legal or similarly significant effects without human involvement. You may request human review where applicable.

20. Changes to This Privacy Policy

We may update this policy; when changes are material we update the "Last updated" date and, where required, notify active subscribers. Continued use after a change indicates acceptance.
